How secure is your multifunctional device?

With GDPR now an important consideration for businesses across the UK, it’s the perfect time to think about the printer or multifunctional device (MFD) your company uses every day and how secure it is.

Most of us are aware of the level of data held on our computers and know why it’s essential to keep them updated with relevant antivirus software, but how much do you know about your printer?

Why does your multifunctional printer pose a risk?

An MFD often runs an operating system much like a computer does so it can perform functions on your network such as scanning to email or scanning to your internal server. This means the ports on your MFD are left open to allow it function correctly, leading to potential security weaknesses.

What can you do to ensure your machine is secure?
Keep the firmware updated

Ensuring your device is running the latest firmware will make sure you get the latest security patches along with any bug fixes that have been released. With a print management contract, this is normally looked after for you.

Change the default password

If your MFD came with a pre-defined password to access the admin section, it’s wise to change this from the default setting to minimise the chance of possible security breaches. You could also ensure this is changed just as regularly as you would any other password for the highest levels of security.

Be careful of what data your machine stores

Your printer is an overlooked area when it comes to GDPR compliance but it’s important that you know what data your machine is storing and try to set the hard disk to overwrite data so you’re not unwittingly storing old personal information.

Turn off connectivity

If your MFD has WiFi or Bluetooth that you’re not using, it’s generally more secure to keep these turned off to prevent anyone with the right technical knowledge from hacking into your machine. Speak to your print management company or IT department to see how to do this.
